Administrator Role
Position Title: Part-Time Administrator (Sydney based)
Start Date: middle of January
Hours: Part time – average 10 hours per week flexible hours.
This is a work from home role.
Occasionally you will be expected to attend meetings out of hours, in an evening or on a weekend.

Reporting to: Executive Manager
Main Purpose of Position Responsible for: Assisting the Executive manager in the operations of the UPJ office and
activities
ORGANISATIONAL OVERVIEW
The UPJ is the roof body for 27 congregations, schools, youth groups and communal organisations across Australia, New Zealand and Asia, serving about one fifth of the region’s affiliated Jewish community. Its role is to support and develop Progressive Judaism in the region so that congregations and affiliates are best able to maintain and increase their strength and vitality. The UPJ is managed by a voluntary executive board led by the President.
Key Responsibilities:
- Critical to this role are exceptional interpersonal, communication and time management skills, along with
good knowledge of MS office operating systems, and the flexibility to manage several projects
simultaneously, as required - Provide administrative support to the Executive Manager. This may require supporting the UPJ Board and its
committees, as directed by the Executive Manager. - Help coordinate UPJ projects as required by the Executive Manager (conferences, meetings, annual appeals
and ad hoc projects). - Assist Executive Manager in managing correspondence and records, including drafting responses to
correspondence - Manage regular updates to directories, contact lists and databases
- Assist with day-to-day requirements of a remote UPJ Office, including responding to telephone enquiries and
emails, processing payments and other day to day administration, as required by the Executive Manager.

Required Experience/Qualifications:
- Highly organised, with the ability to manage time effectively, set priorities, and solve problems
independently and excellent attention to detail. - Demonstrated experience in administrative support under minimal supervision.
- Demonstrated experience in working with a wide variety of stakeholders and constituents.
Required Skills and Knowledge:
- Strong organisational skills with the ability to prioritise tasks, manage time effectively, and solve problems
independently. - Excellent written and verbal communication skills, with the ability to liaise confidently at all levels.
- Demonstrated capacity to take initiative and manage projects independently, while also working effectively
as part of a team. - Community work experience, an understanding of the mechanics of working in a communal organisation.
- High attention to detail, with knowledge of governance and financial processes (payments, receipting,
banking). - Proficiency in Microsoft Office, online tools, and familiarity with social media platforms.
- Awareness of Work Health and Safety requirements in line with state legislation.
- Understanding of, and sensitivity to, the UPJ’s responsibilities and commitment to its stakeholders;
knowledge of Jewish organisations in Australia is an advantage. - Current state driver’s licence
- Capacity to pass an Australian Federal Police Criminal Record Check.
Desirable:
- Experience in managing projects such as conferences, events.
- Knowledge of the not-for-profit sector and board operations.
